1. Statement of Intent

Place & Space CIC is committed to ensuring the health, safety, and welfare of its directors, freelancers, volunteers, partners, participants, and members of the public affected by our activities.

The organisation recognises its responsibility to provide safe working environments during exhibitions, installations, events, and project activities.

We aim to:

  • Provide      safe systems of work for all staff, freelancers, and volunteers
  • Assess      and manage risks appropriately through risk assessments
  • Comply      with relevant health and safety legislation, including the Health and      Safety at Work etc. Act 1974
  • Maintain      safe exhibition, installation, and event environments for visitors and      participants
  • Work      with venue partners to ensure safe public access to exhibitions and      activities

2. Organisation and Responsibilities

The Directors of Place & Space CIC have overall responsibility for health and safety within the organisation.

Directors are responsible for:

  • Ensuring      compliance with health and safety legislation
  • Preparing      risk assessments for exhibitions, installations, and events
  • Ensuring      safe working practices are followed
  • Liaising      with venue health and safety representatives where applicable
  • Ensuring      contractors and freelancers operate safely
  • Maintaining      appropriate insurance cover

Freelancers, contractors, and volunteers are responsible for:

  • Following      safe working practices
  • Using      equipment and materials appropriately
  • Taking      reasonable care of their own safety and that of others
  • Reporting      hazards, incidents, or concerns immediately

3. Risk Management

Place & Space CIC uses a risk-based approach to managing health and safety.

Before exhibitions, installations, workshops, or events take place, the organisation will:

  • Conduct      a written risk assessment
  • Identify      potential hazards (such as manual handling, electrical equipment, trip      hazards, and public interaction)
  • Implement      appropriate control measures
  • Liaise      with venue health and safety teams where applicable
  • Brief      staff, volunteers, or contractors on relevant safety procedures

Risk assessments will be reviewed if circumstances change or following any incident.

4. Incident Reporting

All accidents, near misses, or safety concerns must be reported to a director immediately.

Incidents will be recorded and reviewed so that appropriate action can be taken to prevent recurrence.

Where required, incidents will be reported in accordance with relevant health and safety regulations.

5. Policy Review

This policy will be reviewed every two years, or sooner if there are significant changes to organisational activities or legal requirements.
